ServiceOps — Login & Registration Guide

Overview

This guide explains how each user type can sign in to, or create an account on, ServiceOps. It covers both the web application and the mobile app, and documents every available authentication method.

ServiceOps uses three distinct user roles:

  • Provider Admin — the business owner or manager who sets up and runs the ServiceOps account.
  • Technician (Tech) — a field crew member who logs jobs and views their schedule.
  • Customer — a homeowner or client who can view appointments and service history.

Important: Technicians and Customers do not sign themselves up independently. They are invited by the Provider Admin. The admin sends an invitation (email invite or mobile invite code), and the new user completes registration using that invitation.

Note: Web Create Account and mobile registration both require an invitation. The email address used must match the invitation sent by the admin.


Web App — Signing In

The ServiceOps web application is available at www.exlntsoftware.com. All three user roles sign in through the same login page.

Navigate to www.exlntsoftware.com/login. The page shows a Sign In / Create Account toggle at the top. Make sure Sign In is selected, then choose one of the three methods below.


Method 1 — Email & Password

The standard sign-in method. Use this if you set up your account with a password.

  1. Go to www.exlntsoftware.com/login.
  2. Confirm the Sign In tab is active (top of the form).
  3. Select the Password tab.
  4. Enter your email address.
  5. Enter your password.
  6. Click Sign In. You will be taken to your dashboard.

Tip: If you see the message "Your account is not fully set up. Please contact your administrator", your invitation has not been fully processed. Contact the Provider Admin who invited you.


Method 2 — Magic Link

A one-click login link sent to your email. No password required. The link expires in 24 hours.

  1. Go to www.exlntsoftware.com/login.
  2. Confirm the Sign In tab is active.
  3. Select the Magic Link tab.
  4. Enter your email address.
  5. Click Send magic link.
  6. Open the email from ServiceOps and click the login link.
    • If you don't see the email within a couple of minutes, check your spam or junk folder.
  7. You will be redirected automatically to your dashboard.

Method 3 — One-Time Code (OTP)

A 6-character code sent to your email. Useful if you prefer to verify in the same browser tab without clicking a link.

  1. Go to www.exlntsoftware.com/login.
  2. Confirm the Sign In tab is active.
  3. Select the One-Time Code tab.
  4. Enter your email address.
  5. Click Send code.
  6. Open the email from ServiceOps and copy the 6-character code.
  7. Return to the login page and enter the code in the code field.
  8. Click Verify code. You will be taken to your dashboard.

Web App — Creating Your Account

Who this applies to: This section is for users who have received an email invitation from their Provider Admin. Your email address must match the invitation exactly.

Navigate to www.exlntsoftware.com/login and select the Create Account tab at the top of the form. Then choose one of the three methods below.


Method 1 — Email & Password

Set up a password you will use for all future sign-ins.

  1. Go to www.exlntsoftware.com/login and select Create Account.
  2. Select the Password tab.
  3. Enter your invitation email address.
    • This must match the email your admin used to invite you.
  4. Enter a password of at least 8 characters.
  5. Re-enter the password in the Confirm Password field.
  6. Click Sign up. Your account is created and you are redirected to your dashboard.

Method 2 — Magic Link

Complete registration by clicking a signup link sent to your email.

  1. Go to www.exlntsoftware.com/login and select Create Account.
  2. Select the Magic Link tab.
  3. Enter your invitation email address.
  4. Click Send Signup Link.
  5. Open the email from ServiceOps and click the signup link.
    • The link completes your registration and takes you directly to your dashboard.

Method 3 — One-Time Code (OTP)

Complete registration by verifying a code emailed to you.

  1. Go to www.exlntsoftware.com/login and select Create Account.
  2. Select the One-Time Code tab.
  3. Enter your invitation email address.
  4. Click Send OTP Code.
  5. Open the email from ServiceOps and note the 6-digit code.
  6. Return to the page and enter the code.
    • The code field only accepts digits and must be 6 characters.
  7. Click Verify & Sign Up. You will be redirected to your dashboard.

Mobile App — Signing In

The ServiceOps mobile app is available for iOS and Android. Download it from the App Store or Google Play, then open it and use one of the two sign-in methods below.

Note: If you are signing in for the first time on mobile, make sure you have already created your account — either via the web app or by completing mobile registration with an invite code (see the next section).


Method 1 — Email & Password

  1. Open the ServiceOps mobile app.
  2. The Password method is selected by default on the login screen.
  3. Enter your email address.
  4. Enter your password.
  5. Tap Sign In. The app navigates to your home screen.

Method 2 — Magic Link

Receive a one-tap login link in your email instead of typing a password.

  1. Open the ServiceOps mobile app.
  2. Enter your email address.
  3. Tap Send Magic Link (the outlined button below Sign In).
  4. Open the email from ServiceOps on your phone and tap the login link.
    • The app must be installed for the link to open it directly. If the link opens a browser instead, return to the app — you may already be signed in.

After tapping Send Magic Link you will see the confirmation: "Magic link sent — check your email to sign in."


Mobile App — Creating Your Account (Invite Code)

New Technicians and Customers register on mobile using an invite code provided by the Provider Admin. The invite code is unique to your invitation and links your account to the correct company and role automatically.

  1. Open the ServiceOps mobile app.
  2. On the login screen, scroll down and tap Use an Invite Code.
  3. Enter the invite code exactly as provided by your admin.
    • The code is case-insensitive — the app converts it to uppercase automatically.
  4. Tap Continue. The app validates the code.
    • If the code is invalid, already used, or expired, you will see an error message. Contact your admin for a new code.
  5. On the Create Account screen, enter your full name.
  6. Your email address will be pre-filled from the invitation. Do not change it.
  7. Enter a password of at least 8 characters.
  8. Re-enter the password in the Confirm Password field.
  9. Check the box to accept the Terms of Service and Privacy Policy.
  10. Tap Create Account.

Email confirmation: In some cases you may see a "Check your email" screen after tapping Create Account. Open the confirmation email from ServiceOps and tap the link to activate your account, then return to the app and sign in.


Troubleshooting

ProblemWhat to do
"Your account is not fully set up"Your account exists but has not been assigned a role and company yet. Contact the Provider Admin who invited you.
Magic link expired or not workingLinks expire after 24 hours. Request a new magic link from the login page using the same email address.
Invite code is invalid, used, or expiredEach invite code is single-use and has an expiry. Ask your Provider Admin to issue a new invite code.
Wrong email address on web Create AccountThe email must exactly match your invitation. Check with your admin which email address was used.
Passwords do not matchBoth Password and Confirm Password fields must be identical. Passwords must be at least 8 characters.
OTP code not workingCodes are time-sensitive — use the most recently sent code. Note: OTP is a web-only method; mobile uses password or magic link.
Confirmation email never arrivedCheck spam or junk. If still missing after 5 minutes, try signing in with a magic link instead — it triggers a new email.
Mobile app does not open the magic linkThe app must be installed before tapping the link. If it opens a browser, return to the app — you are likely already signed in.
